1. Booking Confirmation & Acceptance of Terms
A private tour booking will be considered confirmed only after Gujarat Adventure Club receives the required booking amount and issues written confirmation by invoice, booking confirmation, email, WhatsApp or another official communication channel.
A quotation, verbal discussion, tentative itinerary, hotel suggestion or availability check does not constitute a confirmed booking unless payment and written confirmation have been completed.
By making any booking payment, the traveller confirms acceptance of the final quotation, itinerary, inclusions, exclusions, cancellation terms, refund policy, child policy, payment terms and these Terms & Conditions.
All services remain subject to availability until they are actually confirmed by the respective hotel, transporter or other supplier.

2. Payment Policy
The traveller must make payments according to the schedule mentioned in the quotation, invoice or booking confirmation.
The booking advance amount may be used immediately to secure hotels, vehicles, permits and other third-party services. Therefore, the advance should not automatically be considered refundable.
The balance payment must be received within the deadline communicated by Gujarat Adventure Club. Failure to make payment on time may result in:
Release of hotel rooms or vehicle inventory
Cancellation of blocked services
Revision of package price
Application of cancellation charges
Cancellation of the booking
If supplier rates or availability change because the traveller delays payment, the difference in cost shall be payable by the traveller.
For last-minute bookings, Gujarat Adventure Club may require 100% payment before confirmation.
A booking will be considered fully paid only after the entire payable amount, including applicable taxes and approved additional services, has been received.

3. Package Price, Taxes & Price Revision
Package prices are calculated according to travel dates, guest count, room occupancy, hotel category, vehicle requirement, itinerary, meal plan, sightseeing, taxes and prevailing supplier rates.

4. Cancellation Policy
All cancellation requests must be submitted in writing through an official communication channel.
The applicable cancellation amount will depend on the travel date, cancellation date, services already booked and third-party supplier policies.
Unless a package-specific cancellation policy has been issued, cancellation deductions may include:
Non-refundable booking or reservation amounts
Hotel cancellation charges
Vehicle cancellation charges
Permit/activity charges
Payment gateway or banking charges, where applicable
Other supplier amounts already committed or paid
Cancellation will be calculated from the date and time Gujarat Adventure Club receives the written cancellation request.
No verbal cancellation shall be treated as final until acknowledged in writing.
If hotels or suppliers impose stricter cancellation terms for peak season, festivals, special events, Christmas/New Year, long weekends or blackout dates, those supplier conditions will apply.
A cancellation charge should reflect the booking terms and actual contractual commitments rather than operate as an arbitrary penalty, because consumer-facing service contracts can be scrutinised for unfair contractual terms. India Code

5. No-Show, Early Departure & Unused Services
A No-Show means the traveller fails to report for the tour, hotel, pickup or confirmed service without timely cancellation.
Normally, no refund will be available for:

Missed pickup caused by traveller delay
Unused hotel nights
Voluntary early departure
Missed sightseeing
Meals voluntarily not consumed
Services refused by the traveller
Tour portions abandoned after commencement
Refund, if any, will depend on whether Gujarat Adventure Club actually receives a refundable amount from the concerned supplier and on applicable law.

6. Rescheduling & Date Change
Any request to change the confirmed travel date will be treated as a rescheduling request and will remain subject to fresh availability.
Additional charges may apply if:
New hotel rates are higher
Transport rates change
The new travel date falls in peak season
Supplier amendment fees apply
Earlier confirmed services are non-refundable
The original booking amount may be adjusted toward the new booking only to the extent permitted by the respective suppliers.
A date change is not guaranteed merely because the traveller has already paid an advance.

7. Refund Policy
Where a refund becomes payable, Gujarat Adventure Club will calculate the refundable amount after deducting applicable cancellation charges, non-refundable supplier costs and other authorised deductions.
Refund processing may begin only after:
Cancellation is confirmed,
Supplier deductions are verified, and
Refundable amounts from relevant suppliers are reconciled.
Where a third-party supplier has not refunded Gujarat Adventure Club, the traveller’s refund may depend on resolution with that supplier, except where applicable law imposes a different obligation.
Any approved refund should be returned through an appropriate payment method within the communicated processing period.
Banking, payment gateway or transaction charges may be non-refundable where they were actually incurred and are lawfully deductible.
Refunds are not automatically due merely because the traveller chose not to use a confirmed service.

8. Child Policy
Child pricing depends on the child’s age, room-sharing arrangement, hotel policy, transport seat requirement and package-specific terms.
Unless otherwise specified in the package:
Below 5 years: May be complimentary when sharing with parents without an additional bed, subject to hotel policy.
5 to 10 years: Child charges may apply depending on whether a bed, mattress or transport seat is required.
10 years and above: Generally treated as an adult for package pricing.
A CNB Child / Child Without Bed receives accommodation without a separat

Refund, if any, will depend on whether Gujarat Adventure Club actually receives a refundable amount from the concerned supplier and on applicable law.

6. Rescheduling & Date Change
Any request to change the confirmed travel date will be treated as a rescheduling request and will remain subject to fresh availability.
Additional charges may apply if:
New hotel rates are higher
Transport rates change
The new travel date falls in peak season
Supplier amendment fees apply
Earlier confirmed services are non-refundable
The original booking amount may be adjusted toward the new booking only to the extent permitted by the respective suppliers.
A date change is not guaranteed merely because the traveller has already paid an advance.

7. Refund Policy
Where a refund becomes payable, Gujarat Adventure Club will calculate the refundable amount after deducting applicable cancellation charges, non-refundable supplier costs and other authorised deductions.
Refund processing may begin only after:
Cancellation is confirmed,
Supplier deductions are verified, and
Refundable amounts from relevant suppliers are reconciled.
Where a third-party supplier has not refunded Gujarat Adventure Club, the traveller’s refund may depend on resolution with that supplier, except where applicable law imposes a different obligation.
Any approved refund should be returned through an appropriate payment method within the communicated processing period.
Banking, payment gateway or transaction charges may be non-refundable where they were actually incurred and are lawfully deductible.
Refunds are not automatically due merely because the traveller chose not to use a confirmed service.

8. Child Policy
Child pricing depends on the child’s age, room-sharing arrangement, hotel policy, transport seat requirement and package-specific terms.
Unless otherwise specified in the package:
Below 5 years: May be complimentary when sharing with parents without an additional bed, subject to hotel policy.
5 to 10 years: Child charges may apply depending on whether a bed, mattress or transport seat is required.
10 years and above: Generally treated as an adult for package pricing.
A CNB Child / Child Without Bed receives accommodation without a separat
