Balance Payment Policy
The complete outstanding balance must normally be paid at least 1 day before departure, unless an earlier deadline is specified for the package. Payment is considered complete only after successful receipt and verification by Gujarat Adventure Club. Failure to clear the balance within the applicable deadline may result in the booking or associated services being placed on hold or cancelled, subject to the applicable cancellation and refund terms. Any additional charges arising from booking modifications, room-sharing changes, upgrades or third-party services must also be cleared before departure.
Child Policy
Children below 5 years may be complimentary as per package terms, but a separate seat, bed, meal or activity may be chargeable. Children aged 5–10 years will be charged as per the applicable Child With Bed or Child Without Bed category. Children aged 10 years and above will be treated as adults. Valid age proof may be required, and hotel, transport and activity-provider policies will also apply.
Infant Policy
Infants may travel complimentary where specifically permitted under the package; however, complimentary status does not automatically include a separate transport seat, bed, mattress, meal, entry ticket or activity. The infant will normally share the existing seat/room arrangement with the parent or guardian. Valid age proof may be required. Any separate seat, bedding, ticket, meal or supplier-mandated charge will be payable additionally. Parents/guardians remain responsible for the infant’s supervision, food, medicines and personal requirements throughout the trip.
Room-Sharing Policy
Accommodation will be provided according to the sharing category selected at booking. Double Sharing is for two travellers, while Triple and Quad Sharing may include extra beds, rollaway beds or mattresses depending on the hotel. Specific bed type, room number, floor, view, adjacent rooms or interconnected rooms are subject to availability and are not guaranteed unless confirmed in writing. Any change in traveller count or sharing category may result in a revised package price or single occupancy supplemen
Check-in / Check-out Policy
Hotel check-in and check-out will be as per the respective property’s standard timings. Early check-in and late check-out are subject to availability and may attract additional charges. Early arrival does not guarantee immediate room access, and late departure does not extend room usage automatically. Valid government ID may be required at check-in. Any property-specific rules, security deposits or additional personal charges must be settled by the traveller.
Cancellation Policy
Cancellation must be requested in writing through an official Gujarat Adventure Club communication channel. Cancellation charges will be determined according to the number of days remaining before departure and the package-specific terms. Hotel, transport, tickets, permits, safaris and other third-party services already confirmed may be partially or fully non-refundable. Cancellation within 72 hours, No-Show, missed departure or voluntary early exit may attract up to 100% cancellation charges. Any eligible refund will be processed after applicable deductions and supplier reconciliation. Package-specific cancellation terms will prevail wherever separately mentioned.
Refund Policy
Any eligible refund will be calculated after deducting applicable cancellation charges, non-refundable supplier costs and committed services. Approved refunds are generally initiated within 7 working days after verification and final reconciliation. Hotel, transport, ticketing, safari, permit, activity and other third-party charges may be partially or fully non-refundable. No refund will ordinarily apply for No-Show, missed departure, voluntary early exit or unused package services. Package-specific refund conditions will take priority wherever separately mentioned.
Rescheduling Policy
Rescheduling is subject to availability, supplier approval and operational feasibility. Requests should be made as early as possible before departure. Hotel, transport, ticket, safari, permit, activity and administrative amendment charges may apply, along with any difference in package price. Requests within 72 hours of departure may normally not be accepted and may instead fall under the applicable Cancellation Policy. A revised booking is confirmed only after required charges are paid and Gujarat Adventure Club issues written confirmation.
No-Show Policy
A traveller who fails to report at the confirmed boarding point within the required reporting time, misses the departure, or does not utilise a confirmed booking without completing an eligible cancellation may be treated as a No-Show. No-Show bookings are ordinarily 100% non-refundable because transport, accommodation and other services have already been reserved. The group vehicle cannot be delayed indefinitely for late travellers. Any alternate arrangement to join the tour later will be at the traveller’s own cost, and unused services will not normally be refundable.
Name-Change / Transfer Policy
Name correction or traveller replacement may be permitted only where operationally possible and subject to hotel, transport, ticketing, permit and supplier rules. Requests must be submitted in writing and are not guaranteed. Amendment charges, fare differences or fresh ticket/permit costs may apply. Requests within 72 hours of departure may normally be restricted. A transfer is considered valid only after Gujarat Adventure Club issues revised written confirmation.
Force Majeure Policy (Weather / Natural)
In the event of heavy rain, flood, landslide, cyclone, snowfall, earthquake, forest fire, road closure or any other natural circumstance beyond reasonable control, Gujarat Adventure Club may modify, delay, reroute, postpone, shorten or cancel part or all of the itinerary where necessary for safety and operational reasons. Additional accommodation, transport or meal expenses caused by such disruption may be payable by travellers where outside the original package. Refunds, where applicable, will depend on unused services and actual amounts recoverable from hotels, transporters and other suppliers. If the tour remains operational but a traveller chooses not to participate due to a weather forecast or personal concern, the standard Cancellation Policy will apply.
Organizer Cancellation Policy
If Gujarat Adventure Club cancels the entire confirmed departure for operational, supplier, safety or minimum-participation reasons, affected travellers will be offered the applicable option of refund, rescheduling, travel credit or alternative departure/package. Where a refund applies, the eligible package amount paid to Gujarat Adventure Club will be refunded as per the package terms, and the normal traveller cancellation penalty will not apply. Independent expenses booked outside the confirmed package are not automatically reimbursable. Weather, natural disasters and similar external events will be handled under the separate Force Majeure Policy.
Minimum Participation Policy
Group departures may require a minimum number of confirmed participants. If the required minimum is not achieved, Gujarat Adventure Club may change the vehicle size, merge compatible groups, offer another departure, reschedule the tour or cancel the departure. If the entire tour is cancelled by the organiser due to insufficient participation, affected travellers will be handled under the Organizer Cancellation Policy and the normal traveller cancellation penalty will not apply. Package-specific minimum participation terms will take priority where stated.
Property Damage / Misconduct
Travellers are responsible for any verified loss or damage caused by their negligence, misuse or deliberate actions to hotels, vehicles, equipment or other property. Repair, replacement or supplier-imposed damage charges must be paid by the responsible traveller. Fighting, harassment, abusive behaviour, illegal activity, serious intoxication, deliberate property damage or repeated violation of reasonable safety instructions may result in removal from the tour. In serious misconduct cases, unused services will ordinarily be non-refundable and any additional return travel or related expenses will be borne by the traveller.
